1. Introduction
AXON ("we", "our", "the bot") is a Discord bot and web dashboard operated by the AXON development team. This Privacy Policy explains what data we collect, why we collect it, and how we handle it. By using AXON you agree to the practices described below.
2. Data We Collect
We collect and store only the minimum data necessary to provide bot functionality:
- Discord User IDs — to track warnings, XP, leveling, and verification status per user.
- Discord Server (Guild) IDs — to store per-server configuration settings.
- Discord Channel & Role IDs — referenced in dashboard configuration.
- Message content snippets — temporarily processed for AutoMod and AI content filtering. Content is not persistently stored unless a violation is logged.
- Violation logs — AutoMod and AI filter violations are stored in our database linked to a User ID and Server ID for moderation review.
- OAuth tokens — when you log into the dashboard via Discord, an encrypted session token is stored in a secure HTTP-only cookie. We do not store your Discord password.
3. Data We Do Not Collect
- We do not read, store, or sell your private (DM) messages.
- We do not collect email addresses, phone numbers, or real-world identifiers.
- We do not sell any user data to third parties.
- We do not use advertising trackers or analytics that identify individuals.
4. How We Use Your Data
- Delivering bot features: moderation actions, leveling, tickets, verification, roles, and logging.
- Storing server configuration so your settings persist across bot restarts.
- Providing the web dashboard with your server's data when you are logged in.
- Investigating abuse reports and moderation violations.
5. Data Sharing
We share data only with:
- Discord, Inc. — via the Discord API, which is required for the bot to function.
- MongoDB Atlas — our database provider, used to store guild configurations and user data under their security standards.
- Replit, Inc. — our hosting provider; they may process request metadata as part of their infrastructure.
We do not share your data with any other third parties.
6. Data Retention
Server configuration data is retained while the bot remains in the server. User data (XP, warnings) is retained while a server's data exists. If you remove AXON from your server and request data deletion, we will delete all stored records for your server within 30 days. Violation logs may be retained for up to 90 days for safety purposes.
7. Your Rights
You may request access to or deletion of your data at any time by contacting us in our support server. We will respond within 14 days.
8. Security
We use HTTPS, encrypted session cookies, and access controls to protect your data. However, no system is perfectly secure and we cannot guarantee absolute security.
9. Changes to This Policy
We may update this policy occasionally. Significant changes will be announced in our support server. Continued use of AXON after changes constitutes acceptance of the updated policy.
